When event and meeting professionals from across the globe converge in a single city, that destination can showcase its distinct offerings in a way that impacts visiting groups and drives tourism.
For Meeting Professionals International’s (MPI) World Education Congress (WEC) 2026, The CE Group collaborated with Visit San Antonio to promote the city during the conference’s official Opening Reception, themed “Revelry: The Confluence of Culture.”
Held on June 2 at the Henry B. González Convention Center and along the River Walk, the experience welcomed approximately 1,500 meeting and event professionals to San Antonio. For CE Group’s Destination Management team, it was a chance to create an experience that celebrated the city while showing what is possible when local knowledge, creativity, and event expertise come together.
Turning San Antonio Into the Experience
Rather than bringing a San Antonio theme into a traditional ballroom, we used the city itself as our inspiration.
Nearly a mile of River Walk became the setting for an experience celebrating the cultures that have shaped San Antonio and Texas. Guests moved through distinct environments featuring décor, food and beverage, entertainment, and activations inspired by the city’s many cultural influences.
Existing spaces became part of the creative. Stairs transformed into a Spanish-inspired seating area. A hillside became an oversized MPI installation. Windows featured larger-than-life Papel Picado graphics, while custom bars, entertainment, and activations helped distinguish each environment. Even the San Antonio River became part of the experience, culminating in a signature river parade.
It wasn’t about recreating San Antonio for attendees. San Antonio was the venue, the inspiration, and the experience.
Destination Management Behind the Scenes
Creating a seamless experience requires a lot of behind-the-scenes work.
Planning began approximately seven months before WEC. The CE Group’s scope included event concept development, design and décor coordination, entertainment, activations, vendor management, sponsor integration, signage and wayfinding, safety planning, guest flow, program logistics, and onsite execution.
The unconventional River Walk footprint added another layer of complexity. Our team navigated multiple elevations, stairs, bridges, limited freight access, an active river, and the logistics of safely moving 1,500 attendees throughout the experience. About 20 vendors and partner organizations, plus 40 team members, came together to execute the event.
The goal was simple: attendees should experience the event, not the complexity of creating it.
Showcasing San Antonio to the People Who Plan Events
Something about this audience felt particularly meaningful.
These weren’t just 1,500 guests visiting San Antonio. They were 1,500 meeting and event professionals who understand the details, logistics, transitions, and strategy behind creating memorable experiences. They were also people who could one day consider San Antonio for an event of their own.
That made the Opening Reception an opportunity to showcase more than a single event. It let us demonstrate San Antonio’s potential as a destination.
